Washington, D.C. Metro Area. The Administrative Assistant is expected to independently accomplish both general or routine office administrative tasks as well as fulfill more specialized or complex administrative duties with minimal guidance and assistance.
Major Duties:
* Supports administrative requirements at the lower- to mid-management levels of an office.
* Performs administrative duties such as screening and handling incoming calls and prioritizing communications and correspondence from external and internal sources.
* Maintains executive calendars, to include scheduling meetings as requested, sending meeting invites to requested attendees, reserving conference rooms, and deconflicting or prioritizing meetings as necessary.
* Provides the office with a centralized source of administrative expertise and guidance.
* Prepares presentations, reports, summaries, or replies to inquiries, using relevant information from a variety of sources.
* Prepares, reviews and/or edits correspondence such as emails, form letters, reports, tables, spreadsheets, and other printed material.
* Performs data entry and maintenance of stored data or records in established databases, spreadsheets, and other electronic data/record tracking systems.
* Supports the office with development of guidance, procedures and/or policies relative to facilitating administrative activities of the organization. These functions may include training/travel budgets, suspense systems, space planning, personnel management, record management, logistics support, asset tracking, etc.
* Processes mail to include retrieval, opening (as required), inspecting, distributing, and picking up for mailroom delivery.
* Articulates and exchanges information (i.e., requirements, actions, needs, status, etc.) in a professional tone and attitude to achieve efficient business processes.
Minimum Qualifications:
* Must possess an active TS/SCI clearance.
* Must possess a strong working knowledge of Microsoft Office applications, including Outlook, Word, Excel, Access, PowerPoint, and SharePoint.
* Must possess strong interpersonal and organizational skills, as well as strong verbal and written communication skills.
* Ability to work within an organizations chain of command and interact appropriately with individuals at all levels.
* Strong analytical skills to anticipate and proactively assist leadership personnel and staff with day-to-day business processes and administrative support requirements.
* Strong typing skills with the ability to type at a minimum of 45 words per minute (wpm).
* Strong working knowledge of office equipment (e.g., copiers, scanners, facsimile machines, computer workstations, phones, teleconference/video teleconference equipment) with the ability to independently operate such equipment.
* Capable of independently handling a large, complex workload, effectively coordinating multiple resources, and multi-tasking in a fast-paced environment with competing priorities.
Desired Qualifications:
* Proficient working knowledge of the following corporate applications:
+ PeopleSoft
+ Defense Travel System (DTS) with knowledge of the Federal Travel Regulation (FTR) and Joint Travel Regulation (JTR) Ability to schedule, coordinate, set-up, and operate Video Teleconference (VTC) equipment
* Ability to schedule, coordinate, set-up, and operate Video Teleconference (VTC) equipment.
* Prior experience working in the federal government environment or a related field.
* Prior experience with the military and/or an understanding of military services.
Minimum Education and Work Experience:
* Bachelors degree in General Business Administration or related field with minimum 2 years of Administrative experience.
OR
* Associates degree in General Business Administration or related field with minimum 4 years of Administrative experience.
OR
* High School Diploma with minimum 6 years of Administrative experience.
