Description/Job SummaryThe Assistant to the Legal Recruiting & Associate Life department in the Houston office is responsible for supporting the Houston Legal Recruiting team with attorney recruiting efforts, the summer associate program, events throughout the year, attorney professional development and engagement, and various administrative tasks. Will also provide assistance to Deal Staffing team and other Houston departments as needed.
Responsibilities/Duties
Assist with Summer Associate ProgramHelp plan and prepare for weekly Summer Program social events
Attend social events as needed
Maintain database of Summer Associate assignments
Assist with gathering and compiling attorney feedback for Summer Associate performance evaluations
Assist with offer process and tracking
Assist with On-Campus Interviewing and In-Office Attorney Interviews
Maintain candidate database with heavy volume of applicants
Assist with scheduling attorneys for interviews
Prepare materials for interviews, recruiting events, and recruiting meetings
Assist with correspondence (e-mails and offer letters) to candidates
Attend recruiting meetings as needed, keeping organized record of all decisions made and action steps following meetings
Track student expense reimbursements and submit for processing
Assist with Attorney Professional Development
Assist with preparations for CLE (continuing legal education) trainings
Prepare onboarding and departure paperwork for attorneys, process paperwork, and help coordinate new hire orientation as needed
Assist with various administrative tasks
Assist with office parties and events throughout the year
Assist with surveys
Prepare and process invoices and expense reports using Chrome River (Firm's accounting software)
Coordinate meetings, conference rooms, and catering when needed
Assist with Deal Staffing
Perform other duties as assigned
Required Skills
Experience in a Professional Services office environment preferred
1 year of legal recruiting and/or event planning experience preferred
Experience working with Symplicity (Law School employment communications tool), FloRecruit and viDesktop is a plus
Must be able to thrive in a fast-paced setting, have excellent skills in written and verbal communication, organizational ability, be detail oriented, and able to prioritize and complete multiple projects under tight deadlines
Must be flexible to work overtime (especially from May-August)
Must be able to work collaboratively in a team environment
Must be able to develop and maintain positive working relationships with others
Must be able to maintain a client-focused mentality and a professional demeanor
Must be able to maintain confidential information and exercise discretion
Excellent computer skills with proficiency in MS Word, Outlook, Excel and PowerPoint; experience working in a database is a plus
Required Education
Bachelor's degree required
