Faculty/Academic Affairs CoordinatorThis position will provide support to the Faculty /Academic Affairs Office at the Pardee School of Global Studies. Specifically, the position will play a crucial role in the recruiting and hiring of new faculty as well as in the process of obtaining appointments and promotions for our faculty. This position reports to the Associate Dean for Academic Affairs
Responsible for managing the review and approval flow of faculty actions paperwork (including, e.g., initial appointments, re-appointments, non-reappointments, and retirements) requiring Provost approval. Resolve any discrepancies pertaining to faculty appointments and promotions. Assist with visa paperwork and adhoc projects, as needed. Act as the contact for all non-compensated appointments.
Provides specialized administrative support for the Faculty Affairs Office, including organizing new faculty orientation, maintaining faculty files, maintaining webpages and forms, educating school contacts on practices and procedures, scheduling and logistics support for faculty meetings, search committee meetings and Academic Affairs Committee meetings and responding to ad hoc requests.
In collaboration with the Dean's Office and the Finance and Administration Office, prepare required offer documents for all faculty recruits, revise documents as needed, ensure documents are correct, obtain signatures and save executed documents centrally.
Coordinates faculty search activities including advertisement; schedules and coordinates candidate visits; travel and lodging arrangements; and faculty meetings.
Support the academic component of the school including, course scheduling/planning, submits final exam data, coordinating faculty office hours, degree revision, and organizing student evaluations.
Provide checklists, instructions, and frequent status updates.
Leads faculty file digitization effort, including the training and supervision of a student employee.
Coordinates content management process for faculty related policies and manages documentation and distribution process; creates and maintains handbooks, guides, orientation handouts and other documents in print and digital/online formats.
Assist with communications, organizing student evaluations, updating various databases, and supporting faculty members. Assisting Pardee School staff, as assigned, for major School events and activities.
Support all purchasing for faculty, including all computers, research and teaching related equipment, books, etc. Manage Amazon Business account for all faculty, approve purchases, and reconcile statements. Other duties as required.
Required Skills
Bachelor's degree with 2 to 5 years of work experience required and 1-2 years of faculty affairs and/or academic planning experience.
Requires a high-level of proficiency in using technology to support complex administrative functions through word processing, and spreadsheets.
Hybrid - 1 day remote after 2 months.
