Job summary

PRIMARY FUNCTIONS Responsible for the planning and development of WCMCA, Inc. In collaboration with the Chief Executive Officer, develops and implements strategic plan. Seeks out additional resources for programming for WCMCA, Inc. AGENCY EXPECTATIONS Adhere to Agency policies and procedures. Acts as a role model within and outside the Agency. Provide friendly, responsive service to the public, community organizations and to those we serve. With a respectful and positive attitude, work with low-income individuals and families with diverse backgrounds. Support, develop and maintain productive relationships required to carry out job activities. Demonstrate flexible and efficient time management. Maintain the security and confidentiality of all records and interpersonal interactions. Serve as an advocate. Work effectively and cooperatively with community partners and co-workers. Participate in Agency-wide and program events. QUALIFICATIONS Minimum Bachelor's degree in a field relating to Human Services required Minimum of two (2) years proven administrative and management experience Excellent communication skills; verbal and written Proof of valid driver's license and current/adequate vehicle insurance coverage Preferred Ability to understand, appreciate, and construct program evaluation, preferably with previous experience in program evaluation technique and process Knowledge and experience in office management and administration REPORTING TO THIS POSITION ARE: None ESSENTIAL FUNCTIONS Management & Operations Assist in the development of the Agency strategic plan Monitor agency outcomes based upon strategic plan in accordance with grants and contracts. Monitors compliance with rules and regulations, agency policies and procedures, and standards of conduct. In conjunction with the Chief Executive Officer, develops or revises policies in support of organizational goals to be presented to the Board of Directors for consideration. In conjunction with the Chief Executive Officer, completes the annual CSBG/OEO report and biannual Community Action Plan. Responsible for agency-wide data base implementation (CAP60). Provides Supervision to Agency Administrative Assistant Planning & Development Responsible to coordinate agency-wide Community Needs Assessment, Self-Assessment, and Risk Assessment. Responsible for agency-wide planning, research, development and reporting. Coordinate funding requests with other divisions to eliminate duplication. Coordinate and work with department managers to prepare and report integrated agency outcomes (ex. ROMA). Collaborate effectively with other organizations, agencies and the general public to promote and support community partnerships. Responsible to coordinate agency communications including marketing, PR, reporting, website, and social media. In collaboration with the management team, plan and develop new programming to address the causes and conditions of poverty in the communities we serve. Agency and Division Support Assist Chief Executive Officer with the planning and implementation of new programming, which will expand and strengthen the capacity to serve those in need. Develop monthly Agency newsletter to be delivered to staff and Board of Directors. Serve as a member of the management team in guiding operations. Represent WCMCA, Inc. in the communities served. Compile and submit required reports, plans and data to Chief Executive Officer. Assist with other projects as requested by Chief Executive Officer. Attend and participate in agency, community and state meetings important to effective Agency operations. Seek out additional training to enhance personal development. Promote the integration of the full array of services. Participate effectively with other private and public community organizations and state agencies to promote and support partnerships for the achievement of goals. Support the Agencies Board and the Governance structures. Serves on Agency wide committees: employee committee, health/safety committee and technology committee. Act as the Executive Director's designee, in absence of the Executive Director, for continuation of agency operations such as purchase orders, payroll, accounts payables, employee action notices, etc. Executive Director back-up signature. Board Operations Responsible for Board packets and meeting minutes Maintain all Board files Preparation of any Board correspondence, associated materials and mailings Update / Compile Board orientation packets Assist with Board elections Arrange and set-up meeting rooms and meals Update and compile Board Training Manual Arrangements for the Annual meeting & All-Staff meetings 1) Meeting space, food and door prizes 2) Invitations 3) Decorations and set-up 4) Silent auction 5) Awards - staff, Board members and award winners Keep immediate supervisor informed of all problems, unusual or extraordinary matters of significance coming to his/her attention, so that prompt corrective action can be taken as needed. Perform other duties and responsibilities as assigned by supervisor.
